The Opportunity:
We are seeking an experienced Veterinary Rehabilitation Client Services Coordinator who thrives in a detail-oriented, relationship-driven environment.
This position is ideal for someone who enjoys both client service and behind-the-scenes organization.
You will serve as the organizational hub of the practice, helping clients navigate rehabilitation treatment plans while improving the systems that support exceptional patient care.
We are looking for someone who takes ownership without being asked, notices details others miss, and enjoys building systems that make a practice run better.

What You’ll Do:
Provide a warm, Fear Free-focused experience from check-in through checkout.
- Manage phone, email, and text communication with professionalism and empathy.
- Schedule and coordinate multi-visit rehabilitation treatment plans.
- Educate clients about therapy plans, home care, and visit expectations
- Coordinate records and communication with referring veterinary practices.
- Prepare estimates, process payments, and maintain accurate medical records.
- Support a smooth and organized workflow throughout the practice.
- Help facilitate outreach and relationship-building with referring veterinarians.
- Coordinate and track our referral incentive program.
- Maintain and improve internal procedure manuals and training resources.
- Organize and optimize Google Drive systems and administrative workflows.
- Identify opportunities to improve systems, communication, and efficiency.

Qualifications:
- Experience in veterinary medicine, healthcare, hospitality, customer service, operations, or another client-centered field.
- Excellent communication skills and professional phone etiquette.
- Strong organizational and time-management abilities.
Ability to multitask while maintaining a personalized client experience. - High attention to detail.
- Comfort learning new systems and technologies.
- Reliability, empathy, curiosity, and a sense of humor.
Veterinary experience is valued, but we are open to exceptional candidates from other industries who have demonstrated strong client service, organizational, and operational skills.
Compensation & Benefits: $21–25+/hour (depending on experience)
