Healing Arts Animal Care is a rehabilitation-only, high-touch veterinary practice serving the Portland/Beaverton community. Our clients are deeply committed pet owners who invest in long-term healing—and they treat our team like family.

If you’re looking for a front office role without emergencies, chaos, or burnout, this is a rare opportunity to be part of a calm, collaborative, and genuinely enjoyable work environment.

Why this role stands out:
  •  No emergency cases or high-stress front desk chaos.
  •  Established, loyal client base—you’ll know pets (and people) by name.
  •  Supportive, learning-focused team that values curiosity and growth.
  •  A positive, upbeat culture where laughter is part of the day.

The Role:
We’re seeking an experienced Veterinary Customer Service Representative who thrives in a detail-oriented, relationship-driven environment.

You’ll be the organizational hub of the practice—guiding clients through rehab plans, ensuring seamless communication, and supporting both patients and team members with calm efficiency.  This role is ideal for someone who enjoys both front desk work and behind-the-scenes organization, with opportunities to take ownership of key administrative systems.

What You’ll Do:
  •  Provide a warm, Fear-Free–focused experience from check-in through checkout.
  •  Manage phones, email, and text communication with professionalism and empathy.
  •  Schedule and coordinate multi-visit rehabilitation treatment plans.
  •  Educate clients on therapy plans, home care, and visit expectations.
  •  Coordinate records with referring veterinarians (histories, imaging, updates).
  •  Prepare estimates, process payments, and maintain accurate records.
  •  Support a smooth, organized workflow during busy periods.
  • Help facilitate marketing outreach to referring veterinary practices.
  • Coordinate and track our referral incentive program.
  • Maintain and update internal procedure manuals to keep workflows clear and current.
  • Organize and optimize Google Drive systems so the team can easily access what they need.

Our Clients are the A #1 clients of their regular vets -- devoted and no drama.

What We’re Looking For:
  •  Experience in veterinary medicine (CSR, assistant, or technician).
  •  Strong communication skills and professional phone etiquette.
  •  Ability to multitask while maintaining a personalized client experience.
  •  High attention to detail and strong organizational skills.
  •  Curiosity and a desire to keep learning.
  •  Reliability, empathy, and a sense of humor.

Compensation & Benefits ($21-25+, experience matters in compensation):
  •  Competitive hourly pay (based on experience).
  •  PTO.
  •  Medical, dental, and vision insurance.
  •  401(k).
  •  Uniform allowance.
  •  Paid continuing education.
  •  Personal pet care benefits.

Our Core Values:
  • H  --  Heart filled approach:  We have passion for compassion treating all those who come through our door as we would like to be treated.
  • E — Educate ourselves:  We love to learn! if a gap in our knowledge "business, personal or medical" presents itself, nobody has to ask us to fill it,  we will go find out.
  • A -- Accurately read the client and the pet:   We can meet the client and their pet at their level and their fears to create comfort in their hearts.
  • R -- Responsibility:  We hold ourselves to the highest level of personal responsibility, we honor promises and own our own problems.
  • T -- Thrive on compassion:  We treat every day with a joyful, positive and grateful attitude, from saying good morning to your coworkers and meaning it, and laughing at your own foibles.
